What is an EIN and Why Do Truckers Need One?
An Employer Identification Number (EIN) is a unique nine-digit number assigned by the IRS to identify your business entity for tax purposes. Think of it as a Social Security Number for your business. Every trucker or trucking company that files Form 2290 must have an EIN.
You cannot file Form 2290 using your Social Security Number (SSN). The IRS specifically requires an EIN for all HVUT filings, even if you are a sole proprietor with no employees. This is a non-negotiable requirement that you must address before you can file your heavy vehicle use tax return.
How to Apply for an EIN
The IRS offers several ways to obtain an EIN, and the process is completely free:
Online Application (Recommended): The fastest method is through the IRS website at irs.gov. The online EIN application is available Monday through Friday, 7 AM to 10 PM Eastern Time. You will receive your EIN immediately upon completion.
By Phone: Call the IRS Business & Specialty Tax Line at 1-800-829-4933. Hours are Monday through Friday, 7 AM to 7 PM local time. You can receive your EIN during the call.
By Fax: Complete IRS Form SS-4 and fax it to the appropriate number for your state. You should receive your EIN within four business days.
By Mail: Mail a completed Form SS-4 to the IRS. This method takes 4 to 5 weeks and is the slowest option.
We strongly recommend the online application for its speed and convenience.
Common EIN Mistakes to Avoid
When applying for and using your EIN, avoid these common pitfalls:
- Do not apply for multiple EINs for the same business entity - Keep your EIN secure as it can be used for identity theft - Update the IRS if your business name or address changes - Use the correct format when entering your EIN on Form 2290 (XX-XXXXXXX) - Do not confuse EIN with SSN when filing tax returns - Verify your EIN before filing to avoid rejection by the IRS
